Klaska is software that schools use to run their records: students, attendance, results, fees and communication with parents. This page explains what information is kept, why, who can see it, and the rights of parents, students and staff under the Nigeria Data Protection Act 2023.

Who is responsible for the information

Each school decides what it records about its students, parents and staff, and why. The school is the data controller. Klaska keeps and processes the information for the school, on the school's instructions, as a data processor. If you have a question about a child's record, the school is the first place to ask.

What is kept

  • Students: name, admission number, class, date of birth, sex, passport photo (only with the parent's agreement), attendance, scores, report cards, remarks and ratings, and fees billed and paid.
  • Parents and guardians: name, phone number, email if given, relationship to the child and home address if given.
  • Staff: name, role, email, phone, the classes and subjects they teach, and for payroll, salary details the school enters.
  • Activity records: who signed in and when, and changes to money records, so mistakes and misuse can be traced.

Why it is kept

To run the school: teaching and assessment, attendance, report cards, fees and receipts, and keeping parents informed. The school's lawful basis is the education contract with the family and the consent recorded when a child is registered. Information is not sold, not used for advertising, and not shared with anyone outside the school except as described here.

Who can see it

  • School staff see only what their role needs. For example, teachers see their own classes and never see fees. The school owner decides who handles fees.
  • Each parent sees only their own children, through a private link the school sends them.
  • Klaska staff can reach the records only to keep the service running or when the school asks for help.
  • Klaska uses hosting and database providers to run the service. They store the information securely and may not use it for anything else.

How it is protected

Connections are encrypted. Passwords are stored in a form that cannot be read back. Each school's records are kept apart from every other school's. Sign-in attempts are limited to stop guessing, and changes to money records are logged.

How long it is kept

Records are kept while the school uses Klaska, because report cards and transcripts are needed for years after a child leaves. If a school stops using Klaska, it can download all its records, and they are deleted from Klaska within 90 days of the school asking.

Your rights

Parents, students and staff can ask to see the information held about them, have mistakes corrected, and in some cases have it deleted or limited. Ask the school first. The school can correct records directly and can download everything it holds. You also have the right to complain to the Nigeria Data Protection Commission.

Children

Records about children are added by their school with a parent's agreement. Children do not create accounts. Students sitting tests only type a test code, their admission number and surname.
